The Opportunity

The role is due to start from May 2020 or as soon as possible. You will primarily be responsible for the management and development of the Admissions strategy, programmes and processes for the school to deliver a first-class user experience for families as they make the important decision of where to educate their children.

You will provide effective leadership to support the admissions team and processes. To match the expectations and reputation of Orbital Education and Qatar Airways, we expect high quality and high standards from our staff.

You will have an excellent track record of leading and managing admission teams in a school environment.

In particular, the role covers the following tasks:


  • Deliver a five-star, individualised admissions experience to parents from enquiry to enrolment.
  • Continuously improve, organise and manage the administrative procedures relating to admissions, pupil records, and pupils with SEN (under the direction of the SENCO) to ensure they are kept up to date and compliant with MOE / Orbital requirements.
  • Delegate to and oversee the work of the admissions staff through a daily review of admissions with the team providing clear structure and prioritisation of work.
  • Review the performance of admissions staff and address any areas of low performance through on the job training.
  • Ensure all school admission packs are kept up-to-date and distributed to key stakeholders in liaison with the Head of Admissions and Marketing, Heads of Primary and Secondary and the Executive Principal.
  • Support parents with completing admissions processes and collecting and compiling associated documents.
  • Arrange, manage and facilitate school tours and prospective parent visits.
  • Assist in the promotion of the school through the sensitive dealings with children, parents and visitors at all times.
  • Ensure that the output and quality of work is of a high standard and complies with current legislation / standards.


  • Manage assessment processes with Heads of Primary and Secondary, SENCO and teaching staff.
  • Book assessments with parents and teaching staff for prospective children to attend.
  • Manage assessment results with recommendations for enrolment, further assessments or SENCO intervention with School or Regional Head.

Systems Management:

  • Support implementation of new systems to drive efficiencies and improve the customer experience.
  • Manage effective computerised systems (e.g. iSams) for record keeping purposes.
  • Manage archiving of paper records and files.


  • Prepare weekly report for Orbital Education and Principal/s.
  • Prepare reports for the Ministry of Education and Higher Education (MOE&HE) and other stakeholders as required.

Strategic / Planning

  • To manage, implement and drive a clear admissions strategy for the school, to deliver the admissions strategy and enhance relationships with key stakeholders.
  • Deliver reporting and forecasting accurately and on time, attending group pipeline meetings.
  • Ensure the admissions processes is seamless for prospective families and students and that all families receive an exceptional user experience.
  • Ensure all members of staff and the school community understand and fulfil their admissions responsibilities by liaising with key teaching staff and senior management to support the admissions process.

Customer Service

  • Ensure customer service standards are maintained and implemented in accordance with the school’s values.
  • Ensure families receive professional support, guidance and expert advice across the full admissions process.
  • Any other duties as can be reasonably expected within the boundaries of the school office.
  • Be an active, organised and enthusiastic member of the team.
  • Observe the confidentiality of all the personal information access you may have concerning parents and students, as well as third party influencers (companies, relocation agents).
  • Cover duties of other office staff as required.

GENERAL - Shared responsibilities:

  • Support the School Executive Principal and Head of Admissions and Marketing.
  • Work effectively as part of Marketing and Admissions team providing support where required.
  • Ensure staff answer telephones, take messages and monitor calls specific to Admissions.
  • Ensure Admissions visitors are received appropriately.
  • Liaise with staff, pupils and parents regarding admissions.
  • Assist with school mailings when required.
  • Assist with First Aid as required.

Person Specification

You will have knowledge and experience of the Admissions process in an independent school.

In particular, we are looking for candidates who have the following skills and experience:

  • Experience of working within a school or university admissions function.
  • Experience with ISAMs / or other admissions system.
  • Excellent numeracy, literacy and ICT skills.
  • Ability to organise, lead and motivate staff.
  • Excellent communications skills, particularly written and spoken English.
